What each module does

Cash Flow & Runway

Your contracted income, month by month, against a burn rate you drag with a slider. The warning fires below three months — early enough to do something about it, which is the only reason to measure runway at all.

Invoice Aging & Follow-Up

Five columns by age, so a 73-day-old invoice stops looking like yesterday's. Each overdue invoice gets a drafted chase email whose tone escalates with the calendar — polite, firm, then final notice.

Appointment & Intake Forms

Pick from the questions that actually filter — budget, timeline, who signs off — set a pass rule on each, and every submission arrives scored, with the answer that decided the verdict shown next to it.

Shared Team Ledger

Log what the team spent and who fronted it, split evenly or by exact amounts, then let the optimiser reduce the whole tangle to the shortest list of payments that clears every balance.

Guides

Payment reminder email templates

Three templates — polite, firm and final notice — matched to how overdue the invoice is, plus the MSME 45-day rule and Section 43B(h), the escalation most Indian freelancers never use.

What an invoice aging report is

The five brackets and what each one means, how to calculate days past due without the usual off-by-one, and the DSO formula.

How to calculate your cash runway

The formula, a worked example where one good month hides a cliff, and why the warning line sits at three months.

Who owes who, in the fewest payments

Net every position, then match the largest creditor to the largest debtor. Clears any group in at most one payment fewer than there are people.

Questions

How is cash runway calculated?

Your cash on hand, plus the income already contracted month by month — unpaid invoices in the month they fall due, and each active contract's retainer for as many months as it is still contracted — minus your monthly burn rate. Runway is the point the running balance crosses zero. Overdue invoices are counted in the current month, which assumes you collect them; the dashboard says so rather than hiding the assumption.

What are invoice aging brackets?

An unpaid invoice is grouped by how long it has been past its due date: current (not yet due), 1–30 days, 31–60, 61–90, and 90+. The brackets matter because the odds of collecting fall sharply with age — the oldest invoice deserves today's phone call, not the newest.

Does it send the reminder emails for me?

No. It drafts the message and you copy it, or open it in your own email app. Klair never holds your mailbox credentials or your client list.

How does the settlement calculator decide who pays whom?

It nets each person's position — what they paid out, minus their share of every shared expense — then repeatedly matches the largest creditor with the largest debtor. That gives at most one payment fewer than the number of people, instead of one payment per expense.

Where is my data stored?

In this browser's local storage, on this device. Your client list, your rates and your unpaid invoices are among the most commercially sensitive records you hold, so nothing is uploaded and there is no account to create. Clearing your browser data clears the dashboard.

Is it free?

Yes. The free plan tracks 3 clients, 3 contracts, 10 invoices, 1 intake form, 20 expenses and 3 team members — enough to run a small practice. Klair Pro removes those limits across every Klair tool.
